Legal Secretary

We are looking for a secretary to provide legal support for the Firm, and primarily to our Family, Litigation, Employment and Commercial (FLEC) departments in the Petersfield Office 3 days a week (Wednesdays, Thursdays and Fridays).

The ideal candidate will be an experienced legal secretary or a fast and accurate audio typist with good organisation skills and the ability, or the capability of learning how, to prepare various types of legal documentation.

The role will typically involve:

  • Full secretarial and support to any Fee Earner
  • Support and assistance to colleagues by assisting with overflow work for other departments and maintaining support during holidays and sick leave primarily by agreement with colleagues
  • Preparing correspondence, memoranda, emails, attendance notes and other legal documents as required, principally from digital dictation using our case management software (Access DPS) and the appropriate MS Office application
  • Proof-reading documents to achieve accuracy
  • Administration tasks such as ensuring well organised files, trial bundles and indexes to documentation (if appropriate), photocopying, scan incoming post to relevant Fee Earner as required and scan outgoing post.
  • Liaising with other secretaries to ensure Reception is manned in the case of absence of the Receptionist and cover lunch breaks
  • A proactive approach to building professional relationships with clients and other contacts
  • Treating clients and colleagues with respect and tact, bearing in mind individual needs and ensuring confidentiality at all times
  • Providing hospitality services for clients during appointment and present a smart appearance and wear attire suitable for a professional business environment

You need to be confident in using IT for your role and competent in MS Word, Outlook and Excel.

Experience in a legal case management package (preferably DPS Outlook Office) would be ideal although training will be given.

You should be able to demonstrate a commitment to offering clients a high standard of service and confidence managing telephone calls from clients and busy solicitors and aspire to be part of our professional, friendly and hardworking team.
